How we look after your personal information.

ہم آپ کی ذاتی معلومات کی حفاظت کیسے کرتے ہیں۔

This notice explains what personal information Jamia Masjid Gulshan-E-Baghdad — Death Committee keeps, why, who sees it and your rights. We keep it short and only describe what we actually do.

Who we are

Jamia Masjid Gulshan-E-Baghdad — Death Committee, registered charity 1067104, 1-7 Westbourne Rd, , Bedford , MK40 4LB. We are responsible for your personal information (the “data controller”). Questions about your information: arshadmahmood1@gmail.com.

What we keep and why

  • Membership (Death Committee and Masjid): your name, address, telephone, email, the family members covered by your membership, your next of kin, your date of birth (to tell members with similar names apart, for Death Committee cover and fees by age, and to protect your members’ page), what you owe and what you have paid, and how you prefer to be contacted. We use this to run your membership, keep the accounts, send receipts and reminders and, when someone dies, to arrange support.
  • Your members’ page: your balance, receipts and details are published to the website encrypted, and can only be opened with your personal link (and your PIN or date of birth if set). Requests you send from it (a payment, a change of details, a death) are encrypted the same way.
  • Donations and Gift Aid: for a Gift Aid declaration we keep your name, home address and the declaration, and send claims to HMRC as the law requires.
  • Bookings and enrolment (madrasah enrolment, including the child’s name, date of birth and class, and any medical conditions, allergies or medication you choose to tell us so the teachers can keep the child safe (seen only by the madrasah and the committee); nikah bookings; hall hire) and “I’m coming” replies to events: what you send us, to answer you and run the booking.
  • When someone dies: details of the person who has died, the funeral and the family’s contact, to support the family and pay any Death Committee payment. A janazah notice is put on this website only with the family’s agreement, and comes down by itself after the funeral.
  • Contacting you: receipts, notices and reminders by email. You can change how we contact you at any time.

Our legal reasons

We use your information to provide your membership and the services you ask for (a contract with you), because the law requires it (for example accounts and Gift Aid records), and in the committee’s legitimate interests in running the masjid and its Death Committee. Because we are a religious charity, membership records can show your religion; we use them only for our members and people in regular contact with us, and do not share them outside the masjid without your consent, as UK data protection law allows for not-for-profit religious bodies.

Who we share it with

We never sell or give your information to anyone for marketing. We share only what is needed with:

  • HMRC, to claim Gift Aid on donations you have declared.
  • Our email service, which delivers the emails we send.
  • Our website hosting company, which stores this website and the encrypted members’ files.
  • Masjidbox, which provides the live prayer timetable on our home page (see Cookies).
  • Anyone the law requires us to tell, for example the police or a court.

How we keep it safe

The committee’s register is encrypted and kept on the committee’s own computer, with encrypted backups. Only committee members with their own sign-in can open it, and every change is recorded. Information about members on this website is encrypted and opens only with the member’s own link.

How long we keep it

Payment records and Gift Aid declarations are kept for at least six years, as the law requires. Other details are kept while you are a member and removed when they are no longer needed. Booking and enquiry details are removed once they have been dealt with and are no longer needed for the masjid’s records.

Your rights

You can ask for a copy of the information we hold about you, ask us to correct it, to delete it, to stop or limit using it, or to give it to you in a format you can take elsewhere. Ask any committee member or email arshadmahmood1@gmail.com. We reply within one month.

If you are unhappy with how we have used your information, please tell us first. You can also complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint, telephone 0303 123 1113.

Notifications

If you turn on notifications on the home page, your browser gives us an address at its own push service (Google, Mozilla, Apple or Microsoft) and two keys, so that we can send notifications to that phone or computer. We keep only these and the topics you chose, in the committee’s encrypted register. We do not ask for or keep your name, email address or phone number. Each notification is encrypted for your device before it leaves us, so the push service cannot read it. Turn notifications off on the home page or in your browser’s settings and we remove the address when we next hear from your browser or the push service.

Cookies

This website does not use cookies of its own, does not use advertising or tracking, and does not count visitors. Your browser remembers only the choices you make here — Urdu or English, light or dark appearance, your answer about outside content, and any reminder topics you choose to remember — on your own device. Remembering reminder topics does not subscribe you or send messages. A subscription service you choose to open has its own privacy information.

Some content comes from other websites, which may set their own cookies when it loads:

  • Masjidbox — the live prayer timetable on our home page. It loads only after you press Allow, or Show the timetable.

You can change your answer at any time with Cookie settings at the bottom of the home page.
